A short but structured RFQ prevents multiple rounds of mismatched pricing. Send the known values; where the product is not yet decided, describe the application and target market so the supplier can propose a direction without inventing requirements.
Product format: click/floating, dry back/glue-down, loose lay or “please recommend.”
Application: home, apartment, hotel, office, retail, rental, contractor stock or other use.
Traffic level: light residential, active residential, standard commercial or project-defined workload.
Thickness & wear layer: state each separately, including units.
Plank size: desired length × width, or a comparable existing sample.
Surface: matte, embossed, wood grain, registered texture or reference sample.
Backing: attached pad/grip backing requirements and acoustic target if applicable.
Décor: color family, sample, image reference or existing collection direction.
Quantity: trial order, project quantity, repeat-order estimate or container planning.
Branding: neutral packing, OEM carton, barcode, labels, inserts and sample boards.
Documentation: list any market/project test or certification requirement before quotation.
Destination: country and destination port so packing and shipment discussions are relevant.
